TERMS AND CONDITIONS OF BOOKING AND FURTHER INFORMATION FOR DELEGATES

CANCELLATIONS

All cancellations must be made in writing to events@haymarket.com. It is the booker’s responsibility to ensure that we have received the cancellation. As there are a limited number of complimentary places available, the Corporate Forum Team wants to make sure that none of the places are wasted and all event attendees, delegates and suppliers, get the most out of the event by meeting each other and making profitable connections and partnerships. Therefore, if a delegate who registers for the event cancels after Tuesday 10 January, they will subsequently be charged a cancellation/non-attendance fee of £400. If a delegate cancels after Tuesday 24 January, fails to attend the event or fails to attend all of their pre-arranged 1-2- 1 meetings with suppliers, they will be charged a cancellation/non-attendance fee of £800. These charges are to compensate for hotel space that has been guaranteed in advance, the administration resulting from last minute changes in itineraries and the knock-on effect on other delegates' and suppliers' meeting arrangements. So, please only sign up if you can make it so that no places go to waste, and to avoid the cancellation fee. Alternatively, to avoid the cancellation fees, you can nominate a colleague with similar purchasing responsibility to attend in your place.

CONFIRMATION PROCEDURE

We will respond to your application within 48 hours. If your application is successful, we will send you an email confirmation via our online booking system. The dispatch by us of an email confirmation constitutes a legally binding contract. If you have not received your confirmation email within 48 hours of applying, please contact a the forum team at events@haymarket.com as there may be a problem with your booking. Haymarket Events are unable to accept responsibility for the non-arrival of information. Haymarket Events reserves the right to decline any booking. Haymarket Events reserves the right to vary the content, timings, location and/or speakers of events and as such accept no liability for variations.

DIETARY REQUIREMENTS

A vegetarian lunch option is provided as standard. If you have any other dietary requirements, please state this in the relevant section of the booking page.

We make every effort to ensure our events are accessible for all delegates. For any specific access requirements please contact the Forums team at events@haymarket.com.

ACCOMMODATION

A night’s stay at the host hotel is included in your complimentary place.

ON THE DAY

Please note that we may take photographs, video and audio footage of the event, which may include speakers and the delegation, and this may later be used in editorial features and/or in marketing and promotional material.

Whilst in attendance at any Haymarket event, if your behaviour is deemed disruptive, offensive, dangerous, illegal, or if you are found to be distributing unauthorised material we reserve the right to eject you without any prior notice. Audio and visual recordings or the distribution of commercial materials are not permitted without our prior consent. We can accept no liability for damage to or loss of personal belongings at the event venue.

YOUR DETAILS

By attending this event, you consent to your contact details being shared with participating suppliers, who from time to time would like to keep in touch with you to let you know about other related products and services they provide. You also consent to your work-related contact details, i.e. email and telephone number, being printed in the handbook and shared with everyone attending the forum.
